USB sticks, external hard drives, and memory cards are among the easiest items to lose - and among the most common. They are small, put everywhere, and easily fall out. What makes them a particularly serious loss category is their content - business documents, private photos, passwords, financial data.
Immediately After Loss - Three Priorities
- Search possible locations - USB sticks are often found in unexpected places (inside a bag, in pockets, next to the computer)
- Assess the contents - does the device contain sensitive data? If so, urgent protective steps are needed

Data Protection If the Device Is in Someone Else's Hands
If the USB stick or hard drive contains sensitive data:
- Business documents - immediately notify superiors and the company IT department
- Personal data - change passwords related to the device's contents
- Financial data - contact your bank and notify them of the potential compromise
- Under GDPR and local law - loss of a device with personal data should be reported if you are an organization
Encrypted Devices - Why They Are Key
If the USB stick or hard drive was encrypted, the loss is a much smaller risk. Encrypted data is unusable without the correct password. We recommend:
- Windows: use BitLocker to encrypt external devices
- Mac: FileVault for internal drives, Disk Utility for external
- Cross-platform: VeraCrypt (free, open source)
Physical Recovery of the Device
To increase chances of physical recovery:
- Put a label with a contact email on the device itself - an honest finder can contact you

- Check the same locations over the following days - USB sticks are often found during cleaning
Backup - The Only Real Protection
If you lose the device and have no backup, you risk permanent data loss. Recommended backup system:
- 3-2-1 rule: 3 copies, on 2 different media, 1 copy off-site (cloud or physically at another location)
- Google Drive, OneDrive, or Dropbox for everyday documents
- Automatic backup of your smartphone (Google Photos, iCloud)
